If you are going to use Pocket VirtualBoss only, stop here. You are done.

If you would like to synchronize PC VirtualBoss and Pocket VirtualBoss, go to step 2.

#2 Make sure PC VirtualBoss is installed on your PC. It needs to be version 3.70a or later. If it is earlier than 3.70a it will not sync with Pocket VirtualBoss 4.0. The version number is displayed in the upper left hand corner of the main window in PC VirtualBoss.

Make sure the PC dataset you want to sync with has been opened at least 1 time with PC VirtualBoss 3.70a or later. This way you know your data is in the correct format.

You can upgrade PC VirtualBoss to 4.0 by going to www.virtualboss.net/upgrade.htm 

You can install PC VirtualBoss 4.0 by going to www.virtualboss.net/freedl.htm

#3 Set up VirtualBoss for Pocket PC Synchronizer to Synchronize Pocket VirtualBoss with PC VirtualBoss.
With basic Pocket PC skills this is very easy to do.

You can synchronize with your regular VirtualBoss data, or you can practice by synchronizing with sample data. Using sample data will allow you to experiment without changing your valuable data.

A) Tell the VirtualBoss for Pocket PC Synchronizer you want to synchronize with PC VirtualBoss and set the sync settings.

The synchronizer will automatically pop up after the installation is complete.  It is a stand alone program that synchronizes through Microsoft ActiveSync or the Windows Mobile Device Center on Windows Vista.

To set the sync settings, click on the Synchronization Settings button (see cursor on image below)



B) Tell VirtualBoss for Pocket PC Synchronizer which PC VirtualBoss dataset you would like to synchronize with.

You can either click on the Set to Last Opened Button (top image below), or you can click on the Browse button (lower image below).




If you clicked on Set to Last Opened, move on to step C.  If you clicked on Browse, navigate to your database (top image below), select the cttrak.dbc file and click on Open (lower image below).




C) You now need to specify the settings for modifying conflicted records.  To do this, make sure that the Merge Records, i.e. Replace Not Changed Field by Modified Field box is selected, which is done by default.

Then choose one of the options to solve conflicts when the same field is double modified.  You can have the desktop modification overwrite the handheld modification, or vice versa, or you can also resolve the conflicts manually.

D) You are now done specifying the sync settings.  If you would like to specify sync filters, move on to step E.  If you would like to just sync, move on to step F.

E) If you would like to specify sync filters, click on the Customize Filter button in the VirtualBoss for Pocket PC Synchronization Settings window (image below).

The VirtualBoss for Pocket PC Synchronization Filter Settings window will now appear.

Specify the filters that you desire and click on OK.  The filters that you set up will only sync the tasks, contacts, and jobs that fall into your specific sync filter parameters.  To sync, move on to step F.

F) If you have not already clicked on OK after specifying the sync settings, click OK now.

You will now be viewing the VirtualBoss for Pocket PC Synchronization window again.  To sync, click on the sync button (see cursor in image below).

If the synchronization process is working correctly, you should be viewing a blue progress bar, showing details of the sync.

Once the synchronization is completed, the VirtualBoss for Pocket PC Synchronization window should appear similar to the image below.

* Backups
If you have valuable data on your Pocket PC, you should always have a recent backup of your Pocket PC. If you have valuable VirtualBoss data on your PC, you should back that up also. There are several ways to backup your pocket pc. Here are the recommended backup methods:
    1. You can synchronize Pocket VirtualBoss to your PC to save your information.
    2. You can shut down Pocket VirtualBoss and copy the Pocket VirtualBoss program and Pocket VirtualBoss data to a backup folder. Most users would put it on an external flash card if they have one available. You would use File Explorer on your Pocket PC to do this.
    3. If you have ActiveSync 3 (Microsoft eliminated this option in ActiveSync 4) you can backup your entire Pocket PC with ActiveSync on your PC. Go to the Tools menu and select Backup/Restore.

You can backup PC VirtualBoss by going to File > Backup. Or you can take advantage of the auto backup feature found under Options > Preferences > Auto Backup. This backup utility will automatically cover almost all situations except a hard disk failure.

** The dataset contained in C:\Program Files\VirtualBoss\SampleCoInc is a great set to test with.
- To sync with SampleCoInc, Open SampleCoInc with PC VirtualBoss 1st.
a. Go to the File menu, Open Database, Open Sample Data.
b. Select Samplecompanyinc.

Then set up ActiveSync to synchronize with Sample Co Inc. See step 3 above.

*** If you want to synchronize with your company data, follow these instructions.
You should know where your company dataset is. If you never changed the default location for data when you installed PC VirtualBoss, it will be in the following directory:
C:\Program Files\VirtualBoss\Data
If you do not know where your data is, you can easily find out in PC VirtualBoss.
Go to the File menu and click on Open Database. The database that is currently opened will be highlighted and you can follow the highlighted path to locate your data.
